Six steps from RFQ to shipment

  1. Step 01

    Send the complete RFQ

    Submit manufacturer, part number, description, quantity, destination country, required date, technical specifications, and any requested certificates. Photos or datasheets are helpful for obsolete items.

  2. Step 02

    Requirement review

    Our team reviews the request for clarity, part identification, and the commercial information needed to source accurately. We follow up if a line item needs additional detail.

  3. Step 03

    U.S. sourcing investigation

    The team investigates established U.S. manufacturers, master distributors, and specialized sourcing channels to identify pricing, availability, and lead time on each line item.

  4. Step 04

    Quotation

    The quotation may include product price, estimated lead time, origin information when available, applicable commercial terms, documentation charges, and shipping options.

  5. Step 05

    Order coordination & consolidation

    Once accepted, H&H coordinates purchase orders with U.S. suppliers. Eligible items from different suppliers can be received and combined into one export-ready shipment.

  6. Step 06

    Documentation & shipment

    The team prepares export packing, packing lists, commercial invoices, and requested documentation, and coordinates with the buyer's forwarder or an arranged carrier.

What a complete RFQ looks like

The information included in an RFQ has a direct effect on how quickly and accurately we can respond. Multi-line requests are welcome — we regularly work with lists that span multiple manufacturers, product families, and packaging requirements.

Where a part number is superseded, discontinued, or unclear, a photo, datasheet, or drawing helps us investigate substitutions. Substitutions are never made without customer approval.

How multi-line and specialized requests are handled

What can delay a quotation
Missing manufacturer or part number, unclear quantity, an unspecified destination, or a request that depends on supplier information that has not yet been received.
Why complete part numbers matter
Industrial part numbers frequently include suffixes for tolerance, seal type, cage material, or configuration. A partial number often maps to multiple products and delays the response.
How substitutions are handled
When a requested item is unavailable or discontinued, we may propose an alternative. Substitutions are always confirmed with the customer before any order is placed.
How multi-line RFQs are handled
Each line is reviewed independently through the appropriate sourcing channels, then consolidated into one commercial quotation that reflects pricing, lead time, and export coordination for the full requirement.

How long does a quotation take?
Response time depends on the number of line items, the manufacturers involved, and how quickly U.S. suppliers respond. We do not commit to a fixed turnaround, but we acknowledge receipt and follow up as information becomes available.
Can H&H help identify a part from a photo or drawing?
For obsolete or unclear items, a photo, datasheet, or drawing helps our team investigate — but identification cannot always be confirmed without a valid manufacturer part number.
Do you require a minimum order value?
There is no fixed minimum. We are best suited to industrial requirements where sourcing, consolidation, or export documentation adds meaningful value to the order.
Does H&H require a payment before quoting?
No. Quotations are prepared based on the RFQ information provided. Commercial terms and payment are agreed as part of the order confirmation.
