Information submitted in RFQs

When you submit a Request for Quotation (RFQ), H&H receives the information you provide, which typically includes your company name, contact person, email address, phone number, destination country, and the manufacturer, part numbers, quantities, descriptions, and notes you include on line items.

Contact information

Contact details you provide through the RFQ form, the contact page, or email are used to respond to your inquiry, ask clarifying questions, and provide commercial quotations and follow-up communications about your request.

Uploaded files

If you attach photographs, datasheets, drawings, or supporting documents to an RFQ, those files are used solely to investigate and quote your request. Uploaded files are not shared publicly.

Business-purpose use

H&H uses submitted information for legitimate business purposes: preparing quotations, communicating with U.S. manufacturers and distribution channels to source requested items, coordinating export documentation, arranging shipment, invoicing, and maintaining records of the transaction.

Service providers

To fulfill quotations and orders, H&H may share necessary parts of your request (for example, manufacturer, part number, and destination) with U.S. suppliers, freight forwarders, carriers, and documentation providers involved in your transaction. We share only what is necessary to complete the work.

Data retention

H&H retains RFQ, quotation, and transaction records for as long as reasonably required to service your account, meet business and accounting needs, and comply with applicable export, tax, and recordkeeping obligations.

International inquiries

H&H is based in the United States and serves buyers worldwide. By submitting a request from outside the United States, you understand that your information will be transferred to and processed in the United States by H&H and, where necessary, by U.S. suppliers and service providers involved in your request.
